Rental terms

Rental terms and conditions

These terms apply to every rental and service agreement with Yuba City Tent Rentals and are incorporated by reference into your contract. Last updated October 25, 2026.

1. Parties and scope

“We,” “us” and “Yuba City Tent Rentals” mean Professional Resolutions dba Yuba City Tent Rentals. “You” means the customer named on the contract. We source, deliver and manage tents and event equipment and related labor. All equipment and labor are provided by subcontractors that we select and manage. Your contract is with us alone; we are your single point of contact.

2. Quotes and contract

A quote is an estimate until a photo of the site is reviewed and the layout is confirmed. Book at least 7 days in advance; shorter notice is accommodated when possible but not promised. The contract is formed when you sign electronically and we receive the deposit. Equipment, sizes and quantities are confirmed in the contract; the website is a general description only.

3. Deposit and payment

  • A deposit of 20% of the contract total is due at signing and holds the date. It is applied to the contract total.
  • The balance is due on the day of setup, before or at installation.
  • Electronic payment only: Zelle, Venmo or Cash App.
  • Changes after signing that add equipment or labor are quoted and invoiced as a change order.

4. Rescheduling and cancellation

  • Reschedule with 48 hours or more notice: free. The deposit transfers to the new date, subject to availability of the equipment and crew.
  • Reschedule with less than 48 hours' notice: the deposit is retained. A new deposit is required to hold a new date.
  • Cancellation: the deposit is retained. If you believe your circumstances warrant a refund, email yctentrentals@gmail.com with the details and we will consider the request. Any refund is at our discretion.
  • Site not ready: if the crew arrives inside the install window and cannot set up because the site does not meet the prerequisites we advised, $100 of the deposit is retained and the installation is rescheduled under this section.
  • Notice must be given by phone or email to the contact on your contract. The time of notice is the time we receive it.

5. Force majeure

Neither party is liable for failure or delay in performance caused by events beyond its reasonable control, including severe weather, high wind, flood, fire, earthquake, smoke or air-quality orders, public-health orders, government action, utility failure, labor disruption, road closure, or failure of a subcontractor caused by any of these. If such an event prevents safe installation or use of the equipment, we will reschedule to the first mutually available date and the deposit transfers to that date. If we are unable to come out at all, the deposit is refunded. Weather forecasts alone, without an unsafe condition on the day, are not force majeure.

6. Site conditions and access

  • A photo of the site is required before the quote is confirmed. You are responsible for providing a site that is level, clear, and accessible to the crew and vehicles at the agreed times.
  • On grass the tent is staked. You are responsible for identifying and marking underground utilities, sprinkler lines and private lines before staking; call 811 at least two working days before installation. We are not liable for damage to unmarked underground lines.
  • On cement or gravel the tent is weighted with 50-gallon water barrels. Stakes may leave holes; barrels may leave marks. We take reasonable care and are not liable for ordinary marks of installation.

7. Weather and safety

Tents are temporary structures and are not rated for severe weather. You are strongly encouraged to follow local weather advisories for the event date. The installation crew lead has final authority to delay installation, evacuate, or take down a tent when conditions are unsafe, including sustained wind or gusts above the equipment rating, lightning, or flooding. You agree to follow those instructions. No open flames, cooking equipment or heaters may be used under a tent except equipment we supply or approve in writing.

8. Permits and approvals

You are responsible for any permits, fire-authority approvals, venue approvals and homeowner-association consents required for the event. We will provide equipment specifications and flame-certificate documentation on request to support your application.

9. Equipment use, care and damage

  • Equipment remains the property of the supplying subcontractor at all times and is in your care from delivery until pickup.
  • You are responsible for loss, theft, or damage beyond ordinary wear during that period, including damage from guests, vendors, vehicles, weather exposure of items left outside, and misuse.
  • Do not move, alter, or remove any part of a tent. Only the crew may adjust the structure.
  • Repair or replacement is charged at cost, documented with photos.

10. Insurance

A certificate of insurance is available on request. Some venues require the customer to carry event liability coverage; that is the customer's responsibility to confirm with the venue.

11. Limitation of liability and release

To the fullest extent permitted by law, you release Yuba City Tent Rentals, its owner, and its subcontractors from all liability of any kind arising out of or related to the equipment, its installation, use or removal, the event, or the contract, including bodily injury, death, property damage, and dissatisfaction with the equipment or service, however caused. To the extent any liability cannot be released under applicable law, our total liability for any claim is limited to the amount you paid under the contract, and we are not liable for indirect, incidental, or consequential damages, including lost profits, venue fees, catering, or costs of a cancelled or relocated event. Each sentence of this section is severable: if any part is held unenforceable, the remaining parts, including the cap, remain in effect.

12. Indemnity

You agree to indemnify and hold us and our subcontractors harmless from claims, damages and costs arising from your use of the equipment, the conduct of your guests and vendors, or your breach of these terms.

13. Electronic signature and records

You agree to sign the contract electronically and to receive contract documents by email. Your typed name, drawn signature, the photo identification you provide, your email verification, and the time and network address of signing are recorded as evidence of your signature. We keep photo identification only as long as needed to verify the signer and delete it after the event.

14. General

  • These terms and the signed contract are the entire agreement. The contract controls if it conflicts with these terms.
  • These terms are governed by the laws of the State of California. Venue for any dispute is Sutter County, California.
  • If any provision is unenforceable, the rest remains in effect and the provision is enforced to the maximum extent the law allows.
  • We may update these terms. The version in effect on the date you sign governs your contract.
